v Organizational Context and Scope
ü Since the inception of IOM in 1951, Movement Operations have been and continue to be a fundamental pillar of the Organization’s work. The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM’s operations. Movement Operations Units in various IOM Country Offices, coordinated under the Resettlement and Movement Management (RMM) Division in the Department of Mobility Pathways and Inclusion ajira at IOM’s Geneva Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM’s auspices, in accordance with the various framework agreements with resettlement and receiving Governments and partners across the spectrum of the Organization's programmes.
ü Under the general supervision of the
Resource Management Officer, and the direct supervision of the Senior Finance
Associate, the Finance Assistant, is responsible for the following duties and
responsibilities:
v Responsibilities
ü Extract and input data from various
sources in financial or accounting systems;
ü Respond to accounting, budget or
financial queries regarding data from staff in the unit and elsewhere;
ü Assist in the preparation of the
payroll by executing validity checks on monthly payroll results;
ü Review all types of payments starting
from purchase to payment requests verifying that they are duly authorized, and
all the supporting documents are attached therewith;
ü Verify vendor requests for ajira
accuracy and conformance with IOM finance policies and instructions;
ü Perform claim verifications against
documentation to ensure that purchases/services are properly authorized and
that the goods have been received or services rendered;
ü Prepare necessary receipt and journal
vouchers;
ü Assist in the preparation of budget,
accounting, financial, statistical reports and other reports as required;
ü Provide assistance to all staff
services such as travel, expense claims, document retrieval, etc;
ü Ensure proper and systematic filling
of all posted payments and other accounting documents according to the
established standards;
ü Assist in the preparation and
submission of VAT refund claims to Tanzania Revenue Authority (TRA), in line
with applicable procedures and guidelines;
ü Support follow-upon VAT refund
applications, including liaising with relevant counterparts ajira under
guidance of the supervisor;
ü Assist in reviewing supporting
financial documents and compiling data for VAT refund claims, with attention to
completeness and accuracy;
ü Maintained accurate records of
claims, approvals, and reimbursements for audit and reporting purposes;
ü Responsible for the Petty Cash of the
office; and,
ü Perform other related duties as required.
v Required Qualifications and Experience
ü Education
§ High school diploma with four years of relevant experience; or,
§ Bachelor’s degree in Business Administration, Accounting, Finances, or related ajira fields from an accredited academic institution with two years of relevant professional experience.
§ Accredited Universities are those listed in the UNESCO World Higher Education Databaseajira.
ü Experience
§ Proficient in Microsoft Office
applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience
in SAP/WAVE is a distinct advantage;
§ Attention to detail, ability to
organize paperwork in a methodical way;
§ Discreet, details and
clients-oriented, patient and willingness to ajira learn new things; and,
§ Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantages

§ Strong interpersonal and communication skills
ü Languages
§ All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
§ For this position, fluency in English and Swahili ajira is required (oral and written)
